The document management (DMS) opens up the possibility to quickly spread, easily manage and safely archive information protected by security rules. Ordinary document management systems are not connected to business processes and require manual subject indexing.
The rs2. DMS is encompassed into the complete rs2. ERP landscape. All documents, for example, sales invoices, ordering, incoming invoices or business letters are indexed and stored automatically.
Easily manage documents.
Self-generated documents like offers, sales invoices and other documents are automatically indexed when they are created. This process occurs by means of essential search criteria (context), such as, document number, customer number, and accounting assignment number – all search criteria can be adapted to your needs. In addition, documents can be retrieved along the process chain at various points and do not have to be linked a second time.
If a customer has an inquiry on phone concerning an invoice, the relevant document can be recalled from the customer database or from the order information. Each incoming invoice is scanned and archived in the DMS with the corresponding context. The connection to the invoice book is established by default and the responsible employee can retrieve the original invoice at the click of a mouse.
Automatically archive delivery notes.
Signed and returned delivery notes are scanned and archived as new versions of the original delivery notes – thanks to the imprinted barcode. Besides the link to the rs2 applications, all documents can be classified in accordance with special search criteria. By this means, you have the possibility to classify your library to meet your personal requirements. You can use excellent search capabilities for an easy retrieval of documents over the entire ERP process.
E-Mail recall with ease.
With the drag-and-drop function, you can easily store e-mails in the entire rs2.ERP world. Therefore, for instance, electronic requests for quotation can be directly allocated to the job/offer and retrieved under customer or resulting invoice.
